User Registration and Login

Overview

This document will go through the user experience for registering and logging in with TraitWare. If you are an administrator and are looking for documentation for onboarding and managing users, you can find it here.

Supported Mobile Devices

TraitWare requires the use of supported iOS and Android mobile devices and access to the Apple App Store or Google Play to download the TraitWare mobile app.

iOS

  • MUST be using iOS 12+
  • MUST use an iPhone 6/6s and newer
  • MUST be able to log into the App Store to download apps
  • MUST have a WIFI or Cellular connection
  • Admins MUST have camera hardware (admin console login requires QR login)
  • SHOULD have location services, either through GPS or WIFI. Required by some features when admins enable geofencing
  • MAY use an iPad but the experience is not optimized for tablets.

Android

  • MUST have Marshmallow or newer Android OS installed (see full list below)
  • MUST be able to log into Google Play to download apps
  • MUST have a WIFI or Cellular connection
  • MAY have a biometric reader. If one or more is present, it SHOULD have a fingerprint reader. Face, Iris, etc. are insecure and unsupported.
  • Admins MUST have camera hardware (admin console login requires QR login)
  • SHOULD have location services, either through GPS or WIFI. Required by some features when admins enable geofencing
  • SHOULD have regular screen dimensions. Tablets, folding phones, etc. may be compatible, but a tailored experience is not guaranteed.

User Registration From Your Mobile Device

  • If you have not already received a TraitWare Registration email, contact your account admin
  • If you are an account admin who wishes to setup an account, please go here for a TraitWare Console overview
  • Once you receive your Registration Email, we recommend opening the email on the device you wish to install TraitWare on.
  • From your mobile device (Android or iOS phone or tablet), select the blue button Click Here (Mobile Devices Only)

  • If you do not already have the TraitWare application installed on your phone, this link will attempt to automatically install it for you. If you have settings to block this functionality, you will need to either turn that off, or manually install the TraitWare application by searching the Google Play or App Store for TraitWare Authentication
  • Please note that you must allow access to your device’s Camera
  • The link will then automatically apply the registration code from the email to your app (if the code does not automatically apply, go back to the link in the email)
  • Upon successful installation and application of the registration code, you will be taken to register with your phone’s native Biometric/PrintID . Please note that you must have a fingerprint/face saved to your phone prior to choosing this method

Biometric Registration
  • If your phone is not compatible with a biometric/PrintID login, you will automatically be directed to the PhotoAuth method
  • The TraitWare App will show you a grid of pictures, and you will need to remember which pictures you chose in order to be able to login using PhotoAuth
  • The TraitWare App will teach you how to use PhotoAuth by asking you to repeat the five PhotoAuth pictures you chose 2 times to make sure you remember it, and then once more to verify your login

Authenticate/Sign in to TraitWare
  • Once you have successfully set up your Authentication/Sign-in Method, you will be signed in to your TraitWare Account
  • By default, you will be taken to your Direct Mobile Login application list. Selecting an application will automatically sign you into the desired application on your phone.
  • The default can be changed to the QR Scanner through Settings

User Registration From PC/External Device

  • If you do not have access to your email on the mobile device which you are Installing TraitWare on, scroll down in the Registration Email to the On Desktop Computer section

  • Search for the TraitWare Authentication app on your mobile device in the Google Play or App Stores
  • Install and open the TraitWare Application
  • Please note that you must allow access to your device’s Camera
  • Choose either QR Code Scan and scan the QR in the Registration email, or copy and paste the Registration Code by choosing Camera not working? and select Continue
Manual Registration
  • Upon successful application of the registration code, you will be taken to a screen to register with your phone’s native Biometric/PrintID (recommended). Please note that you must have a fingerprint/face saved to your phone prior to choosing this method
  • If your phone is not compatible with a biometric/PrintID login, you will automatically be directed to the PhotoAuth (“password”) method
  • Choose Start Scanning
  • If you change, add, or remove a fingerprint or face to your device, TraitWare will need to be reset by an admin. This is for security purposes.

  • You will be asked to repeat your chosen set of 5 photos 2 times to make sure you remember it, and then once more to verify your login

  • Once you have successfully set up your Authentication/Sign-in Method, you will be signed in to your TraitWare Account

  • Once your TraitWare Account is Registered, each time you return to the TraitWare application, you will need to choose the appropriate TraitWare account you wish to Sign In (Authenticate) with

  • If you open the TraitWare App and your Account list is empty, please return to the beginning of this document to learn how to register an account

  • After choosing the appropriate account to sign in/authenticate with, use your biometric or PhotoAuth method to confirm your identity

  • Once you are successfully signed in, navigate to the service you wish to sign in to on your Desktop Computer
  • If the service still requires your email, enter this information so that you can be redirected to the TraitWare QR Code Sign In
  • Select Middle Button on the bottom of the app (this can be set as the default when you open your TraitWare app in Settings)
  • Please note that you must allow access to your device’s Camera

  • If you have been given access to this application by your account admin, you should successfully be signed in and taken to your application

User Direct Mobile Login

  • The TraitWare Authentication app provides an option to sign in to services directly from the app (without scanning the QR). This allows users to access their services using TraitWare on their devices without needing a desktop or laptop computer
  • To use this feature, open the TraitWare app and select the appropriate Account
  • Sign in/Authenticate using your biometric or PhotoAuth option
  • Select Apps (this default can be changed in Settings)
  • If your Apps list is empty, you do not currently have any approved apps for Direct Mobile Login

  • You will be taken to a screen with a list of approved apps which are sorted by Most Used, All Apps, and Favorites
  • Select the app you wish to sign in to, and you should be redirected to a browser or native app login of the application

Add/Register Additional TraitWare Account

  • If you have a TraitWare account that is different from your existing, you can add the new account through the Registration Email Link or by selecting the + on the Account page
  • The email registration link, when opened on the device which already has TraitWare, will automatically register the new account. You will once again have the option for Biometrics or PhotoAuth.
  • If you choose PhotoAuth, you will see that the same photo set is available for you to use. You may either choose the same photos as your other account(s) or different photos

  • If you register without the Email Registration Link, either manually enter the Registration Code that is at the bottom of the email, or scan the QR Code within the email

Registering New Account

Lost or New Device

  • If you lose your existing device or simply upgrade to a different one, you will need to contact your account admin to receive a new registration code. TraitWare is tied to your device like a token to help provide a more secure experience while using it

Troubleshooting

  • If you are getting a message that the QR is not valid, please restart your TraitWare application. Your session times out after 5 minutes of inactivity. If your screen timeout is longer than 5 minutes, your session will timeout without your knowledge
  • Please don’t use Internet Explorer. It does not support the QR. See a list of our top supported browsers.
  • If you receive an error about Failed Sign-In, there are a couple of steps to check. Make sure that your connection (mobile data or connection to a wifi network) are stable. If you are using PhotoAuth, make sure that you have entered your sequence correctly. If you continue to have issues, please contact your account admin or support@traitware.com to make sure your account isn’t locked.
  • If you receive an “Unexpected Error” when using TraitWare, please make sure that your connection (mobile data or connection to a wifi network) are stable. If you continue to receive this error, completely exit out of the TraitWare app and try again. If you still receive this error, contact support@traitware.com.
  • Due to security features with TraitWare, if a user changes their passcode or adds/removes a fingerprint or changes any other biometric, the TraitWare account will lock. This is to protect a user in the case that someone steals their phone and is able to add a biometric. Please contact your account administrator to have your account reset. They will send you a new registration code to reactivate your account.
